Advanced auto-filled waybill

The waybill is an operational and accounting document, issued by firms, that have their own fleets of vehicles. This document should be available upon request of the authorities and it should be stored or used for declaring company’s affairs. The waybill is not strictly structured by the law. It should consist of the following data: traveled routes, mileage, places of rests, consumed fuel, name of the driver and etc. – regardless of whether the vehicle is operated by one or few drivers. In addition to the waybill, there can be also a series of attachments, such as transportation documents, declarations of origin for goods, purchase orders, invoices and so on.

The input of data in the waybill is a matter of company organization, but more often this task is assigned to the driver of the vehicle. He/She is the person who is aware of the exact date, time and place at which a task is being performed, therefore it is easier for him/her to document it. The process is time-consuming and connected to additional expenses, such as transportation and keeping an archive of the documents. Moreover, a lot of mistakes can be made upon typing the information in the blank by hand. For making the process more manageable, many companies take in consideration the implementation of GPS and Fleet Management systems, since they take away from drivers the burden of dealing with waybills and bring the documents directly into the hands of the right department.

The waybill, generated by GPS Logistic, can be also enriched by the addition of data, registered by parallel devices (outside of the GPS tracking device), such as:

A. Module for reading data from the board computer of the vehicle – this modules adds the digits of the real mileage into the waybill, in order to enable the customer to compare the distance, traveled according to the board computer of the vehicle, to the distance, measured by the GPS software (by map). The gap between these two values can be up to +/- 5% – depending on the producer of the vehicle. The customer can decide which of the values to take into consideration for the company’s reports.

B. Module for driver identification via personal RFID badge or card – this module augments the information, entering the waybill, by the names and other details of the driver. The system precisely separates the routes, traveled by different drivers, by requesting from them to identify upon starting the engine of the vehicle.

B. Module “Weekend” – implementing this module into the GPS system, gives the customer the ability to differentiate between the distance and routes, traveled by drivers for personal goals, from those, traveled while the driver is on duty. The personal routes can be masked, in order the customer to be able to take into account only the distance, traveled in personal mode – without invading the personal space of its employees. The transition between the two modes of driving – personal/corporate – is performed by clicking a smart button, installed in the interior of the vehicle.
